What data do we collect?

Depending on how you interact with us (newsletter registration, free workshop sign-up, contact form, or booking a consultation), we may collect the following information:

  • Standard Personal Data: First and last name, E-mail address, Phone number, Address details, IP address, and Company Name/VAT number (if applicable).
  • Special Category Data (Health Data): If you book a consultation, you will be asked to fill out an intake form. This includes sensitive data regarding your medical history, current health conditions, lifestyle, diet, emotional patterns, and any other information necessary for integrative health and TCM assessments.

For what purpose do we use your data?

The data is collected and stored for the following purposes:

  • Health Consultations & Treatment (Contract & Consent): Your health data, name, and contact details are used strictly to provide you with personalized herbal protocols, TCM diagnostics, and ongoing health support. This data is kept strictly confidential.
  • Communication: We use the details provided in contact forms to answer your specific inquiries.
  • Invoicing & Administration: Your address and purchase details are used for billing, sending herbal products (via PostNL/MyParcel), and fulfilling our legal accounting obligations.
  • Marketing (Mailchimp): With your explicit consent (e.g., when downloading a free resource or signing up for a workshop), we use your name and email to send informative newsletters. You can unsubscribe at any time.

Third-party data processors

To deliver our services, we use secure third-party tools. We have Data Processing Agreements with these providers where required:

  • Zoom: Online consultations are conducted via Zoom. Zoom processes your IP address and connection data. Sessions are never recorded without your prior explicit written consent.
  • Mailchimp: Your email address and name for newsletters are stored on Mailchimp servers.
  • Payment Processors: When paying for services, you are redirected via a secure connection. We do not store your credit card, PayPal, or iDEAL data on our servers.

Cookies / Tracking

A cookie is a small file placed by your browser on your device. We use cookies for website functionality and, only with your explicit prior consent via our Cookie Banner, for analytics and marketing:

  • Facebook Advertising Cookies (Pixel): With your permission, we use Facebook cookies to show relevant ads. Because we operate in the health sector, these tracking cookies will remain disabled until you actively opt-in.
  • Google Analytics: We use anonymized Google Analytics to understand website traffic. Your IP address is masked, meaning we cannot personally trace you.
  • WPDISCUZ (Blog Comments): If you leave a comment on our blog, the WPDISCUZ system uses cookies to check your login status.

You can always remove or disable cookies via your browser settings or revoke your consent via our Cookie Consent settings on the website.

Security of personal data

We have taken appropriate technical and organizational measures to protect personal data—especially your sensitive health records—against loss or unlawful processing. Our website uses secure SSL encryption.

Retention period

We do not store your data longer than necessary for the purpose for which it was received:

  • Health Records: Client intake forms and treatment protocols are kept securely as long as you are an active client and for the legally required retention period after the last consultation.
  • Accounting: Invoice and payment data are kept in our CRM system for at least 7 years to comply with Dutch tax authority obligations.
  • Marketing: If you unsubscribe from our emails, your data will be removed from our active mailing list immediately. Unfinalized transaction data is removed at the end of each month.

Your righs

Under the GDPR, you have the right to:

  • Access and Rectify: Request to see the personal and health data we hold about you and correct it if necessary.
  • Erase (Right to be Forgotten): Request the deletion of your data, provided we are not legally obliged to retain it (e.g., for tax purposes or specific medical record retention laws).
  • Withdraw Consent: Withdraw your consent for data processing (like newsletters or specific health data processing) at any time.
